Guest's Martial Arts (ABN 70 086 851 158), 272 Dundas St, Thornbury VIC 3071 ("we", "us") respects your privacy. This policy explains what personal information we collect, why we collect it, how we look after it and how you can contact us about it. We aim to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

• Contact details – name, phone number, email address and postal address, for students and for parents or guardians.
• Student details – date of birth, the classes you are interested in or enrolled in, attendance, gradings and progress, and uniform and belt sizes.
• Emergency contacts – names and phone numbers of people we can contact if needed.
• Health information – any medical conditions, injuries or other health details you choose to tell us so we can keep you safe in class. We only collect this with your consent.
• Membership and payment details – your membership, payment history and direct debit details. Direct debit and card details are held by our billing provider, not on our website.
• Photos and video – taken in class or at events, only where you (or a parent or guardian) have given media consent.
• Website information – what you enter in our forms, and general information about how you use our website (see Cookies and tracking).

How we collect it

Mostly directly from you: when you fill in a form on our website, book a trial, call or email us, visit the dojo, sign up for a membership or use our members app. For children, we collect information from their parent or guardian.

Why we use it

• To answer enquiries and arrange trial classes.
• To enrol students, manage memberships, bookings, attendance and gradings, and run classes safely.
• To process membership payments and manage your account.
• To contact you about your classes, membership, closures and events.
• To send you news and offers, if you have agreed to receive them (see Marketing).
• To improve our website, classes and advertising.
• To meet our legal obligations.

Who we share it with

We do not sell your personal information. We only share it with trusted service providers who help us run the school, and only as needed for the service they provide, or where the law requires it. Some of these providers may store information outside Australia. We take reasonable steps to make sure they protect your information.

Marketing

We will only send you marketing emails or texts if you have agreed to receive them or would reasonably expect them (for example, after you enquire about classes). Every marketing message tells you how to unsubscribe, and you can also ask us to stop at any time. We will still contact you about your membership and account where we need to.

Children

Many of our students are children. We collect children's information from their parent or guardian, use it only to run their classes and membership, and contact the parent or guardian about their child.

Cookies and tracking

Our website uses cookies and similar analytics and advertising tools. They tell us which pages are visited, how people find our site and whether our ads work, and they may be used to show you our ads on other websites. They do not tell us who you are. You can block or delete cookies in your browser settings.

Keeping it safe

We store personal information in secure, password-protected systems and limit access to staff who need it. We keep information only as long as we need it for the purposes above or as the law requires, and then delete or de-identify it.

Accessing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, by contacting us. Members can also update many of their details in the members app. We will respond within 30 days.
